- 1). Write a sentence that clearly states who the invitation is from, the event that's taking place, the date and time of the event, and whose achievement is being celebrated. An example of this would be: "Betty and Bob Jones are pleased to announce the graduation of their daughter, Jenny Jones, from the University of Colorado at noon on May 13, 2010." For a more formal approach, write out the full date.
- 2). State the venue where the graduation will take place, including a street address if the ceremony will be held at a location that is not a large or commonly known venue. An example of this is: "Commencement exercises will be held at Hughes Theater, 555 South Main Street, Loveland, CO 80538."
- 3). Include information about any additional event details or activities following the graduation ceremony, such as a list of nearby parking lots, an invitation to a reception at someone's home or a casual invitation to a local bar for celebratory drinks. An example of this is: "A reception to immediately follow at the Jones family home, 2222 Ash Lane, Loveland, CO 80538."
- 4). State how guests should respond to the invitation. Ask guests to RSVP by a certain date if you need to pre-order tickets or reserve seating. If you want a general idea of how many will attend, but don't need an exact number, include a more generalized statement that still encourages a response such as "Regrets only" or "Please let us know if you plan to attend." Include a phone number or a preferred method of contact.
