First impressions hold a lot of significance. When your client walks into the lobby of your office you want them to feel comfortable and be impressed at the same time. The lobby and everything in it are the first things that your client sees and it sets the tone for the rest of their visit and their thoughts of you and your office. There are several factors that go into making a lobby both comfortable and impressive, such as a warm welcome by a staff member, things to occupy their wait time such as magazines and satellite TV, and complimentary refreshments. Some more specific ideas include:
1. Who you hire says a lot about the business you run. Your staff is a representation of you, which is something you should keep in mind when interviewing potential employees. The staff at the front desk is arguably the most important position because it is usually the client's first impression of your business. Their voice is the first voice heard on the phone when someone calls the office, and their face is the first one seen when someone walks into your office. They should be warm, welcoming, smiling, and knowledgeable so that they are able to answer any questions.
2. Ideally, you would not have your client wait long for you, but sometimes things happen. Maybe they show up early, or you are running late. Either way, you want them to be able to occupy themselves while they are waiting. Updated magazines should be available in the lobby for reading. You should have a variety; some light reads, some related to sports, and some that are relevant to your business. Installing a satellite TV is also an excellent idea. If your client does not feel like reading, they can sit back and watch TV. A high definition TV will make the experience even better and create a lasting impression. The best thing about magazines and a TV in the lobby is that guests perceive their wait time as shorter than it actually is.
3. A table of a few complimentary refreshments will go a long way with your guests. Everyone can appreciate free food; even you keep it simple with coffee, tea, and cookies or crackers. This will also give your guests something to do while they wait, especially if they are nervous for whatever reason.
4. Comfortable furniture seems like it should not be wasted in the lobby, a place where clients only sit for a short period of time, but it can make a big difference. The more comfortable they are waiting for you, the more comfortable they will feel during their whole experience. Also, if they are waiting for a long time and sitting in uncomfortable chairs, their wait will seem like it is taking longer.
5. Have a drawing for a gift card to a local store or restaurant. Keep a fishbowl on the front desk for clients to drop their business card. This also ensures that you receive their contact information to keep your database updated. If they win, they will associate those positive feelings with your business.
