- 1). Speak with the client who has hired you to plan its legacy event about what he generally wants. Ask what type of event is being celebrated. Talk with the client to see if he has any specific ideas, and find out exactly how much money is budgeted for the event.
- 2). Form your own ideas for how you want to put the event on. Contact a number of different locations for where the event could be held, find out how much they cost and make a list of their amenities. Take pictures of these locations to show to your client. Contact caterers, interior decorators and florists, making lists of what type of food and decorations they can provide and for how much. Present all of these choices in a clear, understandable way to your client and allow your client to choose.
- 3). After each aspect of the legacy event has been chosen, present your vendors (your florist, your caterer and your interior decorator) with written contracts that tell them exactly how much they are going to be paid for specific services. Make sure they sign contracts so they cannot back out at the last minute, causing serious problems for the legacy event.
- 4). Create a schedule of exactly when the interior decoration must be done, when the flowers must be delivered and when the caterers should arrive. Make sure everyone sticks to this schedule so that the client and guests at the legacy event are not distracted.
- 5). Keep all contract paperwork and scheduling for the Legacy event on-hand at all times, so you can make adjustments if problems arise or be able to reference the contracts or other agreements, if necessary.
